Description
- Be the first point of contact for clients via email and in person at the office and for vendors, landlord, maintenance, etc.
- Opening files
- Send order confirmation to clients
- identity verification, GDPR, anti-money laundering measures
- Sequence of the file in the file management program
- Staff management : welcoming, equipping, explaining how the office works
- Follow-up
- Invoicing by employees
- Library follow-up and maintenance
- Invoicing
- Creation of lists of services to be invoiced in Kleos
- Preparation of initial invoices in Kleos
- Correction/adjustment of invoices
- Payment of received invoices
- Link payments received to invoices to enable follow-up of clients
- Follow-up of clients with overdue payments
- Booking (sales and purchase) invoices
- Maintaining purchase and sales ledgers
- Preparing file for accountant
- Developing social networks and website and organizing webinars.
Your profile
- You have very good language skills in English and good in Dutch and French;
- MS Office Word, Outlook, PowerPoint and Excel hold few secrets for you;
- Experience in an administrative position is a plus;
- You are an organizational talent, able to prioritize and not afraid of deadlines;
- Although you are a team player, you can work independently;
- With a positive attitude, you like to take initiatives;
- You work very accurately and communication is your strength.
