Description

Executive Support:
  • Provide comprehensive administrative assistance to Executives and Directors, including complex calendar management, meeting scheduling, document handling and signing, digital and physical filing, internal and external communications, event organization, presentation preparation, expense reporting, and travel arrangements.
Meeting & Event Coordination:
  • Organize and support meetings across Europe, including travel and hotel bookings, agenda preparation, circulation of documentation, and coordination with local contacts.
Project & Team Support:
  • Collaborate with various teams to support ongoing projects and facilitate interactions with internal and external stakeholders.
  • Process Improvement
  • Drive standardization by creating process descriptions, flowcharts, and checklists. Proactively identify opportunities to enhance workflows and team efficiency.
Meeting Participation:
  • Attend meetings when required, take minutes, and ensure follow-up on action items.
Office Management Support:
  • Act as a point of contact for office-related matters in the European Head Office, ensuring smooth daily operations in collaboration with other Executive Assistants.

Your profile

  • You have a proven track record with over 8 years of experience as an Executive assistant or in a similar role supporting senior leadership.
  • You hold a bachelor’s degree in Business Administration, Communications, Organizational Management, Languages, or a related field — beneficial but not required.
  • You are fluent in English, both written and spoken. French and Dutch are a plus.
  • You have a strong proficiency in the Windows environment and Office 365 tools including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint.
  • You have strong organizational and time management skills.
  • You pay excellent attention to detail.
  • You manage urgencies and priorities effectively.
  • You maintain a positive, focused, and proactive mindset.

Offer
