Description

Office Management:
  • Building Contract – Oversight & renewals
  • Landlord Correspondence – Ongoing communications
  • Insurance/Legal – Policies & legal coverage
  • IT System & Security Maintenance – Infrastructure support & upgrades
  • GDPR – Data protection & privacy adherence
  • Office Equipment/Environment – Maintenance, upgrades & cleaning
  • Supplier Management – Service contracts & relationships
  • Restock office supplies
HR/Personnel Management (in cooperation with social secretariat):
  • Coordinate monthly payroll & benefits
  • Contracts – Preparation & compliance
  • Working Regulations – Update as necessary
  • Legal Obligations – Ensure compliance
  • Health & Safety – Manage workplace protocols
Financial (in cooperation with outside bookkeeper/accountant/auditor)
  • Manage external bookkeeper for sales/purchase invoices & transactions
  • Liaise with external bookkeeper, accountant & auditor on booking accounts & quarterly VAT filing
  • Develop annual budget with Secretary General & Treasurer
  • Chase payment of open sales invoices on a monthly basis
  • Monitor annual budget and provide monthly financial reporting for Secretary General, Treasurer & Executive Committee
  • Manage Working Group & project budgets
  • Coordinate funding agreements
  • Manage & facilitate payments via credit card and bank transfer for events
  • Coordinate event registration & sponsorship invoices with bookkeeper/accountant
  • Follow-up on payment of event registrations and sponsorship
  • Manage petty cash
  • Ensure compliance with legal requirements/obligations
  • Monitor bank account balances
  • Input bank payments for sign-off by Secretary General

Your profile

  • At least 2 years of relevant work experience
  • Bachelor’s degree in a relevant field an advantage
  • Excellent command of written and spoken English, fluency in French or Dutch a distinct advantage (to liaise with Belgian-based suppliers)
  • Good interpersonal skills, engaged, highly motivated, and able to take initiative
  • Reliable and adaptable with an accurate and structured work approach
  • Strong organisational and time management skills
  • Team-oriented mindset
  • Proficiency in MS Office and digital collaboration tools; good IT skills
