Our client is seeking a dedicated Legal Assistant to join their team. In this role, you will take on a variety of responsibilities that are vital to the smooth operation of the organization. Your tasks will include:
  • Screening incoming phone calls, inquiries, and requests, and addressing them when suitable.
  • Collaborating with clients and both internal and external contacts to maintain effective communication.
  • Monitoring administrative aspects of disputes and ensuring proper documentation.
  • Maintaining and regularly updating the Client Relationship Management system to reflect accurate information.
  • Organizing meetings by securing venues and preparing necessary documents for distribution in a timely manner.
  • Arranging business travel itineraries and accommodations as needed.
  • Formatting letters, reports, and modifying documents to meet quality standards.
  • Facilitating communication between legal professionals and other internal departments to ensure cooperation.
  • Managing follow-ups on Know Your Customer (KYC) requirements as required.
  • Providing backup support to other team assistants when necessary.
  • Coordinating agendas and schedules as needed to optimize workflow.
  • Carrying out various secretarial duties, which include archiving files and managing mail, emails, faxes, and courier services.

Your profile

The ideal candidate:
  • Brings a minimum of 2 years of demonstrated experience as an administrative or personal assistant in a diverse and multilingual setting, with experience in a law firm considered a valuable advantage.
  • Possesses fluent proficiency in both spoken and written French and English; knowledge of German and Luxembourgish would be beneficial.
  • Is exceptionally organized, meticulous, and proactive, capable of managing confidential information with the utmost integrity.
  • Can work independently and precisely under tight timelines, adept at prioritizing tasks amid competing demands.
  • Exhibits outstanding interpersonal abilities, maintains a customer-focused approach, and thrives in a collaborative team environment.
  • Has advanced skills in MS Office applications, including Word, Excel, PowerPoint, and Outlook.
