Description

Our client is seeking an Executive Assistant / Paralegal to aid their firm and contribute to its ongoing development. As a part of this role, your everyday responsibilities include:
  • Supporting the legal team with tasks such as handling KYC, preparing board minutes, managing contracts, organizing EGM, and more.
  • Managing front-desk activities, including reception duties, answering telephone calls, handling correspondence, and overseeing meeting rooms.
  • Offering general administrative assistance to the team, involving creating, typing, formatting, copying, storing, and archiving documents and files.
  • Coordinating all office management tasks and interacting with suppliers to oversee office supplies, maintain office cleanliness and functionality, address IT issues, and report repairs.
  • Participating in the invoicing procedures using the Avonca system, including preparing and sending invoices, documenting time, disbursements, and expenses.
  • Engaging in marketing initiatives such as events, conferences, mailings, creation of marketing materials, and digital communications.
  • Collaborating within a team and closely working with other team members to achieve common goals.

Your profile

  • Brings a minimum of 3 years of experience in a similar capacity, preferably within the legal field or a law office setting.
  • Holds a bachelor's degree in executive secretarial studies or languages.
  • Demonstrates fluency in both French and English, both written and verbal, with additional proficiency in German, Italian, and/or Luxembourgish being a plus.
  • Possesses advanced proficiency in Microsoft Office applications such as Word, Excel, and PowerPoint.
  • Exhibits strong organizational skills, attention to detail, reliability, and a proactive approach.
  • Shows flexibility, adaptability, and the ability to thrive in high-pressure situations.
  • Is a team player with the capability to also work independently.
  • Has excellent communication skills, a customer-centric mindset, and a strong focus on interpersonal interactions.
