  • You will be responsible for overseeing the schedule, email correspondence, and agenda of a Partner at the firm.
  • Your tasks will include managing travel arrangements, accommodations, and scheduling meetings.
  • You will be in charge of coordinating and planning various events and commitments, including handling registrations.
  • Acting as the main contact person for clients and internal departments, you will ensure seamless communication.
  • Updating and maintaining the client database will also be part of your duties.
  • General secretarial and administrative tasks like responding to emails and phone calls will be within your purview.
  • You will participate in project management initiatives as required.
  • Upholding the confidentiality of both client and firm-related information is essential.
  • Drafting various documentation ranging from correspondence to legal paperwork and presentations will be part of your responsibilities.
  • Submitting necessary documents to the Luxembourg Business Registers is also a task you will be handling.

Your profile

  • You must have 5-8 years of experience in roles like Administrative Assistant, Executive Assistant, or Personal Assistant. You should have previous work experience in a Luxembourg law firm or a similar setting.
  • You need exceptional communication skills in both French and English, with knowledge of German being a plus.
  • A secretarial degree or equivalent qualification is required.
  • Proficiency in Word, Excel, PowerPoint, and Outlook is essential.
  • Trustworthiness, discretion, organizational skills, and the ability to maintain confidentiality are crucial.
  • You should have quick problem-solving abilities and be flexible in your approach.
  • Teamwork is important, but you also need the capability to work independently.
  • Effective multitasking and prioritization skills are necessary.
  • Excellent time management skills are required to deliver high-quality work within strict deadlines.
