Legal Secretary

Our client, a law firm in Brussels, is looking for a Legal Secretary. He/she will be responsible for diary management, organizing meetings and travel, managing the firm's telephone and electronic communications, as well as reception, invoicing, office management and file management (opening, setting up, updating and closing). The ideal candidate is detail-oriented. He/she is organized and attaches great importance to deadlines. This is a young, dynamic firm offering a highly varied and stimulating position.

Description

The tasks of the Legal secretary are as follows:
  • Telephony management (answering the phone, listening to and forwarding voice messages, managing hardware/vendor selection, contacts with IT suppliers)
  • Reception (welcoming customers and managing meeting rooms)
  • Invoicing/credit control (prepare monthly invoices and follow up unpaid invoices)
  • Management of procedural diary, preparation of file of documents and filing with the clerk's office, filing of pleadings
  • Incoming and outgoing mail management (posting ordinary and registered mail, managing parcels, receiving, opening and distributing mail to the lawyers responsible and encoding documents on the firm's platform)
  • Office storage and stock management
  • Library management (directory, filing and ordering)
  • Organization of events and travel for lawyers
  • Help with recruitment
  • Reporting and other ad hoc tasks as requested by partners

Your profile

  • initial experience in a similar position
  • very good knowledge of English, French and Dutch
  • a versatile person with a strong sense of organization and priorities. The candidate must also be able to meet deadlines.
  • an ability to exercise discretion
