Description
Administration :- Promoting firm culture and creating and fostering cohesive office life.
- Designing and implementing engagement programs that foster positive morale and creating opportunities for collaboration.
- Promoting and encouraging collegiality and effective communication and interaction.
- Serving as an energized leader and effective liaison between office management, firmwide management, and employees.
- Identifying and resolving areas of concern within the Brussels office.
- Coordinating and implementing office moves, construction projects, and refurbishments, as necessary.
- Managing facility leases and vendor/service contracts in accordance with the firm’s standard practices.
- Coordinating with building management to ensure facility maintenance and safety.
- Maintaining safety, first aid, and disaster prevention programs in compliance with firm policies and procedures and current local and country requirements.
- Overseeing inventory, procurement and maintenance of furniture, equipment, and office supplies.
- Overseeing outsourced entities, as necessary.
- Coordinating professional and non-professional staff recruitment and Human Resources development; including selection, orientation, training, counseling, and evaluations.
- Working closely with firmwide Human Resources and firmwide Talent Management to maintain Brussels personnel and employment records.
- Administering employee incentives, evaluations, compensation, and benefits programs in compliance with the firm’s standard practices.
- Ensuring compliance with the firm’s Human Resources policies and procedures and current local and country statutory and regulatory requirements.
- Serving as effective liaison between management and employees.
- Promoting and encouraging effective communication and interaction at all levels within the Brussels office and with individuals in other offices.
- Coordinating among firm accounting personnel to develop the annual office operational budget process.
- Monitoring office expenditures and monthly budget variances.
- Promoting cost savings measures.
- Supporting office payroll processing.
- Liaising with the Director of International Accounting to handle other financial and accounting responsibilities as needed.
- Assisting Brussels Partners with billing and collections, in coordination with the billing department.
Your profile
- College degree or equivalent, directly applicable experience required.
- A minimum of three years prior experience managing staff in a law firm environment.
- An ability to read, speak, write English with business level proficiency. Proficiency in French or Dutch.
- Good IT skills.
- Familiarity with fundamental Human Resources policies and procedures, as well as current employment law requirements.
- Proficiency with legal terminology and standard legal procedures.
- Ability to deal effectively with all levels of people in demanding, high stress situations.
- Ability to make sound decisions and demonstrate a high degree of trustworthiness in handling confidential and sensitive information.
- Strong problem-solving and administrative skills.
- Ability to prioritize and manage time effectively.
- Excellent organization and communications skills, both oral and written.
- Ability to work in a team environment and a fast-paced environment while exhibiting a strong attention to detail.
