Operational Project Assistant

Description

  • You encode, in accordance with PL indications, the various project milestones in the tool (SAP PS) throughout its lifespan and carry out, via SAP PS or Excel Babe, the various controls and follow-ups linked to these milestones in order to guarantee the proper execution of the project in the various tools;
  • You coordinate the encoding and updating and/or checking of project budgets in the tools (SAP PS, Excel Babe) to ensure that the business can track the financial progress of its projects;
  • You provide proactive support to PLs and PMs so that they can more effectively manage the budgetary, financial and administrative aspects of projects, as well as project planning;
  • You initiate, in accordance with PL/PM indications, the creation of project sheets and coordinate their completion and validation with PL/PM and the IPC secretariat to ensure that they are submitted to the decision-making bodies;
  • You are responsible for the creation and administrative follow-up of purchase requisitions (PR), shopping carts, store reservations, orders and deliveries linked to orders, in order to launch the purchasing process and ensure that suppliers place orders correctly and within the agreed deadlines;
  • You draw up the "transfer of ownership" when the requested delivery deadline is exceeded. At the request of the PL, you coordinate the follow-up of accounts, work orders (WO) or purchase order supplements and translate them into DA to create purchase order amendments or calls against master agreements;
  • You ensure that administrative documents are available (provisional, industrial or final acceptance reports, safety clauses and certificates) so that you can close the file and release bank guarantees or withheld payments;
  • You are responsible for implementing and/or updating the project monitoring work procedures used by the OPAs, thus ensuring transparency in these processes and ensuring that the OPAs carry out detailed and uniform file management.

Your profile

  • Bachelor's degree or equivalent through experience;
  • Organized and structured work, critical mind;
  • Good team spirit;
  • Autonomy, precision and customer orientation;
  • Effective communication skills;
  • Bilingual NL/FR + good basic knowledge of English;
  • In-depth knowledge of Excel (XLS reports) and SAP is an asset.
