Our client, a leading international law firm based in the centre of Brussels, is looking for a leading Legal Assistant.The main purpose of this role is to oversee the team of Legal Assistants, ensuring the most efficient execution of tasks and the delivery of an exceptional service to our practice groups. As part of this, a key responsibility will be to reassess the role of the Assistants, strategically enhancing their contribution to the business to ensure its resilience in the years ahead. Description
- Take responsibility for the efficient running of the legal assistants team - lead workflows, and role model best practices to other team members.
- Proactively engage with and assist fee earners regarding work requirements, encourage and supports all team members to utilise the team.
- Proactively build and encourage best practices, idea sharing and efficiencies within the team, and other teams, and create plans for the sharing of more complex tasks.
- Ensure urgent work requests are promptly communicated to the appropriate team member.
- Obtains feedback from fee earners on a regular basis to help improve the team's services.
- Being responsible for the workforce planning, performance management and personal development of all team members, including planning and carrying out appraisals for the team.
- Ensure the onboarding and training of new Legal Assistants.
- Proactively develops the level of support in the best way to ensure tasks are done at the most time and cost-efficient level.
- Strong skills in teamwork and cooperation - building constructive relationships within and across teams that contributes to positive outcomes.
- Maintaining effective in varying environments and with varying tasks, responsibilities, or people despite disappointment and/or disagreements.
- Work in close collaboration with the Billing & Collection Lead to ensure good cross-functioning teamwork of legal assistants and billing officers
- Assisting with team event arrangements.
- Assisting with other ad-hoc tasks assigned to you.
- Ensuring all relevant firm’s standards and guidelines are met.
Your profile
- Experience or affinity with the role of a legal assistant/executive secretary.
- You have experience in people management and preferably change management.
- You master English, Dutch and French, spoken and written.
- Demonstrate flexibility, and ability to manage a high workload and meet tight deadlines.
- Ability to meet business demands and work with demanding stakeholders.
- Uses and expands technical knowledge and shares expertise with team.
- Discretion in dealing with confidential matters.
- High level of proficiency in Microsoft Office.
- Exemplary document management and filing.
- You have a can-do attitude and go the extra mile when needed.
- Interpersonal understanding and problem-solving ability.

- Knowledge of SAP 4/Hana is a plus
