Legal Assistant

Our client, a renowned international law firm, located in the centre of Brussels, is looking for a legal assistant for a temporary contract.
The main tasks of the Legal Assistant are to provide high quality administrative support to the Corporate Department. You will help the lawyers manage their workload by being responsible for the organisation of events/ travels and meetings, telephone/email and postal communication, file management (filing, updating, archiving,..), record keeping and amending and reformatting documents,
The ideal candidate is a pro-active, dynamic and enthusiastic person who is able to take initiatives. He/she must also have strong communication skills as well as organisational skills and attention to detail.

Description

Your tasks :
  • Work closely with the Legal Assistants team to provide basic administrative support.
  • Develop secretarial and prioritisation skills.
  • Demonstrate flexibility and proactively contribute to the team's success by actively seeking to improve
working processes.
  • Managing expectations in terms of deadlines and outcome of tasks assigned.
  • Ensures clear and concise record keeping relating to tasks undertaken and correct filing of tasks and
supporting materials.
  • Communicate, seek help or clarification from the Legal Assistants team, and confirm understanding when
uncertain about a task or when instructions are not clear.
  • Collaborate with the Legal Assistants team to fully understand processes, procedures, and solutions.
  • Amending and reformatting documents, where appropriate, ensuring that completed documents are
delivered accurately to a high standard.
  • Organising sending of mail, faxes and courier deliveries and collections.
  • Printing, scanning, and copying of emails and documents that are required by fee earners.
  • Paginating and binding documents.
  • Filing and e-filing of relevant paperwork including correspondence, emails, research material and finance
documents daily.
  • Organising meetings, ensuring rooms and conference facilities are booked, liaising with attendees if
necessary both internal and external and making sure that any required catering and technical equipment is
in place.
  • Assisting with team event arrangements.
  • Learn how to accurately use our practice management system to facilitate matter opening, maintenance,
closure, and archiving and how to onboard clients.
  • Dealing with external and internal telephone calls and queries in a professional manner and relaying
messages to the relevant person.
  • Drafting, creating, and editing documentation, in line with the DLA Piper Style Guide.
  • Provide administrative support to fee earners with conflict searches and audit requests.
  • Assisting with other ad-hoc tasks assigned to you.
  • Ensuring all relevant firm’s standards and guidelines are met.

Your profile

  • Excellent command of English and Dutch, spoken and written.
  • Demonstrate flexibility, and ability to manage a high workload and meet tight deadlines.
  • Ability to meet business demands and work with demanding stakeholders.
  • Discretion in dealing with confidential matters.
  • Proficient in Microsoft Office.
  • You have a can-do attitude and go the extra mile when needed.
  • Excellent attention to detail; ability to work quickly and accurately under pressure.
