Description

  • Get to learn about the e-Signing tool, be the single contact point to receive internal requests for e-signing and ensure smooth completion, check on future upgrades of the tool and follow-up on potential issues with the provider and IT and Sourcing; When documents must be signed wet-ink, arrange for such signing and the shipping of the signed originals ;
  • If a Contract Management Database is assessed for deployment in Europe, participate in the testing, implementation and adjustment of the tool and administer features assigned to your responsibility (tracking of contract reviews and approvals, uploading of the final version and signed copy, etc.) ;
  • Organize the trips and agenda for the face-to-face meetings of the Legal Europe team (invitations, bookings, printing of materials, etc .) and all offsite meetings of the General Counsel Europe ;
  • Help coordinate e-trainings/face-to face trainings in Europe (launch, reminders, attendance tracking, statistics, etc.) and the deployment of related communication materials (posters, etc.) ;
  • Coordinate the review of translations of policies and other documents ;
  • Assist for the formatting of documents (contracts, presentations, letters, etc.) ;
  • Help maintain the Legal folders and SharePoint ;
  • Be responsible for tracking legal invoices and fees.

Your profile

  • Excellent English language verbal and written communication skills ;
  • Self-motivated, self-directed, able to prioritize workload and to work both independently and as a member of a team, while at the same time knowing when to seek advice from your manager or more senior colleagues ;
  • Extremely well organized in building and monitoring planning and check-lists ;
  • Meticulous attention to detail in documents, data and processes ;
  • Ability to build nice and smooth relationships with internal customers and be at ease giving phone calls or video-calls as useful to understand and complete tasks ;
  • Flexibility is essential, as role provides support across all businesses ;
  • Strong level of computer literacy and willingness to learn new technologies ;
  • Strong problem-solving and decision-making ;
  • Ability to address issues creatively and sensitively ;
  • Ability to work as part of a team and with both internal and external stakeholders with diverse cultural backgrounds ;
  • Ability to prepare for recurring deadlines and keep room for unexpected situations or requests requiring urgent support ;
  • Openness in informing timely about any difficulty in completing a task as requested ;
  • High attention to keep confidentiality of company information and documents.
