Administrative Assistant

Our client, leader in the automotive industry, is looking for a commercial and supply chain assistant.


For one of our clients, leader in the automotive sector, we are currently looking for an administrative assistant to support the "Supply & commercial department".

Within the Supply department, you make sure that the financial transactions linked to the ordering, receiving and delivery of car parts are booked correctly and on time in the ERP system. The aim is that the financial transactions closely follow the physical flows of goods in the warehouse.
  • You ensure that supplier invoices match receipts in the warehouse, that inventory values are correct and that claims have been requested from suppliers.
  • You also act as the first contact person for the customer (internal or external) in order to offer an optimal customer service, respond to their questions and complaints and provide them with the necessary information.
Your responsibilities:
  • Invoice matching.
You do the 3-way matching of the invoices from the suppliers: the invoice must match in quantity with the physical receipts, the prices of the goods on the invoice must match the orders and the total of the invoice must match the total of the invoice in our financial system SAP.
If one of these three conditions is not met, you make sure that the price difference is handled by the pricing department and that the quantity difference is handled by the warehouse. For this you will work closely with the pricing coordinator and the people at the inbound warehouse.
  • Claims handling
For each claim, created at the goods receiving department, you take a decision according to fixed criteria. With the help of your colleagues from the Supply department you request a credit note or debit note from the supplier. For local suppliers, you advertise by e-mail. For the factories, you place your order directly in their IT system.
You will also follow up on the claims until the requested debit note or credit note is received and matches the request.
  • Commercial support
Centralizing and processing the incoming requests, comments and problems from the dealers (delays, special orders, ...) in order to propose the most appropriate solution as quickly and correctly as possible.
Search, process and deliver relevant information at the request of internal or external customers to support them in taking correct decisions.
