Management Assistant

Our client is an international law firm which supports organisations being changed by technology and the digital world. We have over 1,400 lawyers, in 30 offices and 21 countries across Europe, the Middle East, Asia-Pacific and North America.

Brussels office brings together 65 team members from 10 different countries.

Description

After a few weeks of training by an experienced colleague, you will be responsible for:
  • Ensuring a smooth running of the day-to-day activities of the team;
  • Managing the email correspondence, ensuring client requests are handled by the team;
  • Organizing conference calls, internal & external meetings as well as worldwide business travel, filing the expense claims;
  • Coordinating the invoicing process;
  • Opening and closing of client matters in cooperation with the compliance team in London;
  • Formatting and proof-reading legal documents and presentations;
  • Carrying out general secretarial tasks.
  • Taking on various marketing related activities for your team;
• Ensuring electronic filing of documents;
• Maintaining the client contact database;
• And, occasionally, translating short documents.

Your profile

  • You have at least 5 years' experience ideally as a management assistant in the professional services sector;
  • You have an excellent level of English and a good command of French and/or Dutch with at least an intermediate knowledge of the other language or to get to that level through our language classes;
  • You have a knack for numbers;
  • You have an advanced knowledge of MS office and are keen to learn how to use other software packages;
  • You are pro-active, solution oriented and possess a strong attention to detail;
  • You have excellent organizational skills and set high standards for yourself;
  • You have good communication skills;
  • You are discrete and can handle confidential information;
  • A true team player, you are reliable, flexible as to hours in busy times and you volunteer to help out colleagues.
