What are the main duties of the Broking Assistant ?

To manage the policies:
  • Accurately follow up that they receive the documents, prepared by the insurer, properly;
  • Drafting of documents (policies or appendices) according to the instructions received from the Broker;
  • Encoding of policies and amendments in the central IT system (General data, invoicing, coverage, insurers, regularization, etc.);
  • Monitoring that the documents are signed by the client and the insurer, after verification by the Broker;
  • Booking of term premiums and cash premiums;
  • Processing of premium deviations;
  • Managing and following up on the coverages that need to be temporarily renewed (with the Broker's agreement);
  • Management and follow-up of administrative changes to be made to contracts (change of name, change of address, etc.);
  • Autonomous management of simple travel insurances;
  • Autonomous management of Special Events, Group Travel, ...;
  • Premium adjustments;
  • Issue of standard certificates;
  • Follow up on the receipt of certificates issued by insurers.
Purely administrative tasks :
  • Drafting mails and letters;
  • Making copies, scanning;
  • Classification (paper and electronic), filing;
  • Management of incoming and outgoing mail;
  • Monitoring mailboxes;
  • Follow up the due dates file for own files as well as for the files of the Broker he is assisting;
  • Providing telephone permanence in case of absence.

Your profile

  • You have a Bachelor degree (Office Management, Business Administration, Insurance...);
  • You are fluent in Dutch and have a good knowledge of English and French;
  • You like analysis and figures and you are precise;
  • You are strong in administrative follow-up and have a good command of MS Office (Word, Excel, Powerpoint);
  • In addition to being dynamic, you are eager to learn, stress resistant and you know how to tackle problems;
  • You have good organizational skills and can set priorities.
