Traditional tasks :
  • Writing letters and emails and managing diaries as required;
  • Typing, proofreading, formatting and editing of contracts, memos, legal documents in
English and French;
  • Photocopying, scanning, printing, faxing, binding, filing, archiving paper and electronic
electronic filing, preparation of powerpoint presentations;
  • Preparation of materials for Board meetings, AGMs or meetings with the tax authorities;
  • Preparation of expense reports and mission orders;
  • Management of sworn translation requests with the service provider;
  • Archiving of client files according to the defined procedure;
  • Follow-up and coordination of travel, organization of meetings and lunches, organization of conference calls;
  • Taking calls in the absence of certain employees;
  • Ordering and managing supplies by floor;
  • Replenishment of coffee corners;
  • Back-up reception if necessary.
Specific tasks:
  • Preparation of engagement letter ;
  • Legalization of documents (notary, embassy and ministry);
  • Follow-up of Apostille filings ;
  • Management of RCS deposits;
  • Weekly update of chargeability tables;
  • Electronic filings with the CSSF (formating & filing of prospectuses ;
request for AIFM attestations).

Your profile

  • BTS in executive assistant, assistant manager, secretarial diploma;
  • 2 to 5 years experience in a similar position, preferably in a law firm;
  • Mastery of office automation tools;
  • Fluency in English and French;
  • Flexibility, discretion, excellent interpersonal skills, organization, autonomy, team spirit and good stress management.
